Booking Terms and Conditions Summary

This page is a summary of the main terms and conditions that apply to all Activate International Summer School bookings. Please read alongside our full Terms & Conditions, which will always apply in full.

1. Booking and Payments

  • You must be 18 or over to make a booking and be the parent/legal guardian of the student.

  • Full payment is due two months before the start date of the Summer School.

  • If payment is not received on time, we may cancel the booking and refuse entry.

  • Deposit and instalment options may be available, but you must follow the payment schedule we provide.


2. Visas

  • Parents/guardians are responsible for arranging the correct visa where required.

  • Supporting letters from us are only provided once full payment and paperwork have been received.

  • If you do not have a visa two weeks before the course starts, you must let us know.

  • If a student arrives without the correct visa, they cannot attend and no refund will be given.

  • All decisions by the UK Home Office on visa applications are final.

 

3. Travel and Transfers

  • You must provide full travel details at least one week before arrival. Late details may result in an admin fee and we cannot guarantee airport collection.

  • We offer airport transfers – see our website for prices. Transfers are confirmed once travel details and payment are received.

  • Some airlines do not allow under-16s to travel alone. Please check before booking flights.

  • If you arrange your own travel, please inform us of arrival time. Passports, tickets, spending money, and medication must be handed in at the course office.

  • If a student leaves early or needs an additional transfer, extra charges will apply.

  • If departure is delayed beyond the end of the Summer School, we will continue to provide accommodation and meals at £100 per night plus any transfer costs.

 

4. Insurance

  • All international students must have insurance before arrival.

  • Insurance should cover: medical expenses, lost luggage, cancellation, and delayed or missed flights.

 

5. Health and Safety

  • A completed Safety Form must be provided before arrival.

  • We provide first aid and may arrange emergency medical treatment without prior consent if needed. Parents will be contacted as soon as possible.

  • Students must be fit to participate in activities and follow all safety instructions.

  • Students must hand in medication on arrival, with clear instructions.

 

6. Behaviour

  • Students must follow our Behaviour and Discipline Policy.

  • We may remove students from camp for unsafe, disruptive, or inappropriate behaviour. No refund will be given if this happens.

 

7. Refunds and Cancellations

  • You have 48 hours after booking to cancel for a full refund.

  • After 48 hours, our refund policy applies:

    • For International bookings, no refund is given if the correct visa is not obtained.

    • If a valid medical note is provided, we may offer a credit note (valid for 12 months).

    • In all other cases, cancellation charges apply as set out in our full Terms.

  • If we have to cancel due to events outside our control (e.g. pandemics, travel restrictions), we will offer a credit note valid for 12 months, or a refund if required by law.

 

8. Liability

  • We are not responsible for indirect losses such as flights, travel costs, or lost earnings.

  • We do not exclude or limit liability for death or personal injury caused by our negligence, or any liability which cannot be excluded by law.

 

9. Data Protection

  • We collect and use personal information in line with our Privacy Policy.

  • Where bookings are processed through third-party platforms (such as Pebble), their privacy terms also apply.

 
10. Law and Jurisdiction

  • These terms are governed by English law.

  • Any disputes will be handled exclusively in the courts of England and Wales.
